The System allows you to check an external calendar (such as an External Outlook or Gmail calendar) when reviewing Attendee availability for a calendar event. This means non-system events scheduled in your external work calendar will show as busy in your system calendar. The following document describes how to configure this for the two most popular mail/calendar options - Gmail and Microsoft Outlook. While theoretically this functionality could work with any calendaring system that provides ICS accessibility, it has been designed and tested to work with the above two systems.
Step-by-step guide
Gmail Configuration
To add visibility into a Gmail calendar you will need to export the Private URL for the Gmail Calendar in question by performing the following steps:
Open your Gmail calendar and go to Settings by clicking the gear in the upper right and selecting Settings.
On the left under settings click the Calendar you would like to include. Click "Integrate calendar"
Find the Secret address in iCal format link by scrolling towards the bottom on the right side
Right Click the provided URL and select Copy Shortcut
In ClientSpace NEXT access your user profile by clicking the profile icon in the upper right and choosing My Profile
Paste the Private URL you just copied into the External Calendar URL field at the bottom of the page and Save the profile.
Selecting Attendee availability on a ClientSpace calendar event will now check to see the last time you refreshed your Gmail calendar and if it has been more than 30 minutes the system will retrieve all active calendar events for the next 3 months and display them in this Free / Busy area.
Outlook Configuration
To add visibility into an Outlook calendar you will need to export iCalendar ICS URL in question by performing the following steps:
Open the calendar in Outlook and right click the calendar you would like to share then select Share | Publish This Calendar
For Office 365 clients you will be asked to login and then presented with the option to select the calendar and the sharing permissions you would like to allow. Once you choose a sharing option select Save
The page will then display both the HTML and ICS URLs for sharing – Right Click the ICS URL and select “Copy Shortcut”
In ClientSpace NEXT access your user profile by clicking the profile icon in the upper right and choosing My Profile
Paste the ICS URL you just copied into the External Calendar URL field at the bottom of the page and Save the profile.
