Loss Run Import Notes
Below is an example of what the loss run CSV file should contain, at a minimum to be able to import into ClientSpace.
- The file must contain a Client Number, the EE's Social Security Number, a WC Policy (the activation date must coincide with the Date of Injury), the Carrier's Claim Number, the Date of Injury, and a Description Of The Accident.
- In addition, it is advisable to also import any Required fields as shown on the dataform (varies by Client), i.e. the Claim Status, the Jurisdiction State and the Date the Accident was reported.
- When loading values for drop down list it is important to use the "Code" and not the "Decode".
- It is not necessary to wrap your values with quotation marks.
- Since the loss runs come from the Carrier the Transmission Status field will be set to "Transmitted" automatically also, to successfully load loss runs there must be a correlation to the Coverage Policy and the Pricing State for the Claim.
- This information is cross referenced through the Employment Record Location that is cross referenced to the Locations Physical address.
- The column heading names can be configured to match the carriers column headings.
- Use the Loss Run Import Mapping to configure by each carrier.
- Sometimes the carriers will provide a different value for lookups than what we have defined for the "Code". To map these correlations use the Loss Run Import Mapping Lookup to configure.

- Values in the CSV file such as Policy Number used to match records must be in the exact same format for the system to perform a match - in the above example, policy number WCPEO000005603 and Policy Number WC-PEO-00000-5603 would not be considered a match.
- Failures during the Import Process will be recorded in the Import Exception field on the Loss Run Import dataform. Correct these issues, then re-attach the file.
